Overview

The RFID Office Asset Management Project was implemented for a major corporation in Vietnam with the objective of managing and tracking over 30,000 office assets nationwide. The project leverages advanced RFID technology, utilizing handheld Zebra RFID scanners and RFID label printers to manage assets such as desks, computers, printers, and other office equipment. Through the system, all assets are tagged with RFID labels and information is updated to a centralized database, enabling rapid and accurate inventory checks without the need for direct physical contact.

The project team successfully deployed the system across three regional centers, ensuring that each asset is assigned a unique identification code. This RFID management system allows the corporation to easily monitor the status, location, and usage history of each asset, thereby optimizing asset management processes and minimizing the risk of asset loss. After deployment, the project team conducted comprehensive training for staff at each regional center on how to operate the system and utilize the handheld devices, ensuring seamless integration and effective asset management operations. The project has been highly regarded for its professionalism and accuracy in large-scale asset inventory management, significantly enhancing the corporation’s operational efficiency.

Functional Modules:

  • User Management and Role-based Access Control (RBAC): Provides functionalities to create, edit, and delete user accounts, as well as assign access rights based on roles. Enables defining various permission levels for different user groups according to usage requirements, ensuring security and strict access control.
  • Department Management: Supports detailed management of department information, including department names, department codes, and associated assets, fostering effective organization and linking between various units within the organization.
  • RFID Reader Management: Allows management of RFID reader devices, including configuration details, operational status, and installation locations, ensuring seamless asset data scanning and accurate operation throughout the system.
  • RFID Antenna Management: Manages detailed information about RFID antennas such as device ID, location, and operational status, supporting the optimization of the system's scanning coverage area.
  • Asset Type Management: Facilitates the definition and management of different asset categories, making it easier to classify, search, and perform inventory checks based on specific asset types.
  • Vendor Management: Stores information about vendors, including names, addresses, and transaction history, enabling effective tracking and management of relationships with suppliers and partners.
  • Geographical Location Management: Manages detailed information about asset storage locations, supporting asset tagging to specific locations, making it easy to identify and retrieve asset positions.
  • Asset Management: Provides functionalities to add, edit, delete, and search asset information, allowing tracking of the status, location, and usage history of each device in the system.
  • Asset Inventory Management: Supports planning and conducting periodic or ad-hoc asset inventories, updating inventory results, and comparing them with system data to ensure accuracy and consistency.
  • Reporting: Offers comprehensive reports on asset status, movements, and inventory results based on various filtering criteria, aiding in analysis and decision-making for asset management.
  • Alert Management: Establishes and manages alerts for abnormal changes or violations of asset management rules, enabling timely detection and handling of incidents.
  • Mobile Application for Handheld RFID Device: A mobile application that allows users to perform remote asset inventories using handheld RFID devices, directly synchronizing inventory data with the management system to save time and ensure accuracy.

Resources and Timeline

The implementation team consisted of highly specialized engineers with extensive experience in integrating RFID systems using Zebra devices, ensuring seamless synchronization and stable operations. As this was the company’s first RFID project, close collaboration between engineers was essential to optimize hardware and software integration. The nationwide deployment required substantial time and resources to ensure system consistency and alignment across all branches.
